Global Futures Academy In-Person Meet-up and Field Trip Policies

These policies apply to community meet-ups, local and domestic field trips, workshops, cultural activities, international family learning trips, and other in-person experiences organized through Global Futures Academy.
They should be read together with the Global Futures Academy General Policies, Privacy Policy, and any event-specific information provided during registration or before an event.
Event-specific information supplements these policies and may include additional requirements based on the location, activity, cost, supplier, or nature of the event. Where event-specific information addresses a matter more specifically than these policies, the event-specific information will apply.
International travel arrangements are also governed by separate Thrivers Lane LLC travel policies, booking terms, supplier conditions, and trip-specific Terms & Conditions.
Definitions
For these policies:

Accompanying Adult means the student’s parent, legal guardian, or another responsible adult authorized by the parent or legal guardian to accompany and supervise the student.

Community Meet-up means an informal, unpaid gathering organized by Global Futures Academy for families to connect and participate in shared cultural, educational, or community activities.
-
Field Trip means a more structured group visit, tour, workshop, performance, activity, or educational experience. A field trip may be free or paid.
-
International Family Learning Trip means a parent-accompanied international travel experience that combines travel arrangements offered through Thrivers Lane LLC with a required Global Futures Academy family course.
-
Event means any community meet-up, field trip, workshop, cultural activity, international family learning trip, or other in-person experience covered by these policies.
Policies Applying to All In-Person Events
Parent-Accompanied Events
-
All Global Futures Academy in-person events are parent-accompanied.
-
Global Futures Academy does not offer drop-off in-person programs.
-
Each student must attend with an Accompanying Adult who remains present and responsible for the student throughout the event.
-
The Accompanying Adult is responsible for the student’s:
-
supervision;
-
physical safety;
-
behavior;
-
personal care and bathroom needs;
-
food and hydration;
-
medication and medical needs;
-
use of playgrounds, splash pads, equipment, and facilities; and
-
compliance with event and venue rules.
-
-
Global Futures Academy organizes and facilitates the educational, cultural, or community experience. It does not provide childcare, individual supervision, or custodial care and does not assume custody of a student at any point.
-
The Accompanying Adult should remain close enough to supervise the student appropriately and respond promptly when assistance is needed.
-
A parent or legal guardian who authorizes another adult to accompany the student is responsible for ensuring that the adult understands and accepts these responsibilities.
-
Global Futures Academy may request written confirmation that an adult has been authorized to accompany a student.
Registration and Attendance
-
Advance registration or an RSVP may be required for planning, communication, capacity, ticketing, or venue purposes.
-
Registration is valid only for the individuals named during the registration process.
-
Families should provide accurate information about the students and adults who will attend and notify Global Futures Academy if the attending individuals change.
-
Space may be limited. Unregistered guests may not be able to participate.
-
Families should notify Global Futures Academy when reasonably possible if they are no longer able to attend.
-
Families are responsible for arriving at the stated meeting place and time.
-
Global Futures Academy is not responsible for missed activities, tours, entry times, or other consequences caused by a family’s late arrival.
Health and Illness
-
Families should not attend an event when a student or Accompanying Adult has a contagious illness or symptoms that create an unreasonable risk to others.
-
The Accompanying Adult is responsible for monitoring the student’s health and deciding whether the student is well enough to attend and participate.
-
Global Futures Academy may ask a family to leave if a student or adult becomes unwell or appears to present a health or safety concern during the event.
-
Families must follow any health requirements imposed by the venue, supplier, or activity provider.
-
Absence because of illness does not automatically entitle a family to a refund or credit. Any refund or credit will be determined under the General Policies and applicable event-specific terms.
General Food, Allergy, and Dietary Responsibilities
-
Each Accompanying Adult is responsible for deciding what they and the student may eat or drink and for supervising the student around food.
-
Families are responsible for bringing, storing, and administering any medication or emergency treatment needed for an allergy or other medical condition.
-
Families should not offer food directly to another child without the knowledge or permission of that child’s Accompanying Adult.
-
Additional food, allergy, and dietary provisions apply according to whether the event is a community meet-up, field trip, or international family learning trip.
Medication and Medical Needs
-
The Accompanying Adult is responsible for carrying, storing, and administering any medication the student may require.
-
Global Futures Academy does not ordinarily store or administer medication.
-
Families should bring any necessary medication, medical supplies, allergy treatment, or emergency equipment to the event.
-
Relevant medical or safety information should be provided when reasonably necessary for safe participation or emergency planning.
Accessibility and Support
-
Parents and legal guardians should contact Global Futures Academy as early as possible if a student or Accompanying Adult requires a disability-related accommodation or other support to participate.
-
Requests will be considered individually based on the activity, venue, available resources, safety, privacy, and the essential features of the event.
-
Some venues, public spaces, natural environments, or third-party activities may have accessibility limitations outside Global Futures Academy’s control.
-
The Accompanying Adult remains responsible for providing the student’s personal supervision, physical assistance, medical care, and other individualized support.
-
Accessibility and accommodation requests will also be considered under the Global Futures Academy General Policies.
Physical Activities and Ordinary Risks
-
In-person events may involve ordinary risks associated with activities and environments such as:
-
walking or standing for extended periods;
-
uneven, wet, or slippery surfaces;
-
stairs;
-
playgrounds;
-
splash pads or water features;
-
games and physical activities;
-
crowds and public spaces;
-
animals, plants, insects, or natural environments;
-
outdoor heat, sun, rain, or changing weather;
-
food preparation or tasting; and
-
transportation to and from the venue.
-
-
Event-specific information will identify significant known features of an activity when appropriate.
-
The parent or legal guardian is responsible for deciding whether the event and its activities are suitable for the student.
-
The Accompanying Adult may limit or decline the student’s participation in a particular activity.
-
Students and adults must follow reasonable safety instructions and all venue rules.
Water Features and Water-Based Activities
-
An event involving a splash pad, pool, beach, boat, shoreline, or other water feature requires direct supervision by the Accompanying Adult.
-
Global Futures Academy does not provide lifeguard services or assume responsibility for supervising a student around water.
-
Families are responsible for bringing suitable clothing, towels, footwear, flotation equipment, sunscreen, or other items identified in the event information.
-
A student should not enter or approach a water area unless the Accompanying Adult considers it safe and remains actively responsible for the student.
Weather and Environmental Conditions
-
Outdoor events may be affected by heat, rain, thunderstorms, lightning, air quality, flooding, tropical weather, venue conditions, and other environmental factors.
-
Families are responsible for checking the forecast, dressing appropriately, bringing water, and deciding whether to attend or remain at an event.
-
Global Futures Academy may cancel, postpone, relocate, shorten, modify, or end an event because of weather, unsafe conditions, venue restrictions, illness, or another practical concern.
-
An Accompanying Adult may leave an event at any time if they believe conditions are unsuitable for the student.
-
Changes and cancellations will be handled under these policies, the General Policies, and any applicable event-specific terms.
Transportation and Parking
-
Unless expressly stated otherwise, each family is responsible for arranging its own transportation to and from an event.
-
Global Futures Academy does not transport students or assume responsibility for a student during travel to or from an event.
-
Families are responsible for parking charges, tolls, fuel, public transportation, and other transportation-related costs unless the event information states that a particular cost is included.
-
Global Futures Academy is not responsible for traffic, parking availability, transportation delays, missed entry times, or a family’s inability to reach the event.
Venue and Third-Party Requirements
-
Many events take place at public facilities or venues operated by independent organizations.
-
Families must follow applicable venue rules, staff instructions, age restrictions, safety requirements, and codes of conduct.
-
A venue or activity provider may require separate tickets, registrations, waivers, releases, identification, or other documentation.
-
Global Futures Academy does not control a third party’s hours, staffing, facilities, accessibility, operations, pricing, closures, or policies.
-
Venue staff may restrict or end a person’s access to the venue under their own rules.
Conduct and Safety
-
Students and adults must treat other families, instructors, venue staff, members of the public, and other participants respectfully.
-
Behavior that is unsafe, threatening, discriminatory, harassing, deliberately disruptive, destructive, or seriously inappropriate is not permitted.
-
Students and adults must follow reasonable instructions given by Global Futures Academy or venue staff.
-
The Accompanying Adult is responsible for addressing the student’s behavior promptly.
-
Global Futures Academy may require a family to stop participating in an activity or leave an event if conduct creates a safety concern, materially disrupts the event, damages property, or seriously affects others.
-
Serious conduct may result in exclusion from future events under the General Policies.
Personal Belongings
-
Families are responsible for their own devices, clothing, supplies, food, bags, and other personal belongings.
-
Important items should be labeled where practical.
-
Families should avoid bringing unnecessary valuables.
-
Global Futures Academy is not responsible for items that are lost, stolen, left behind, or damaged, except where responsibility cannot legally be excluded.
Photography, Recording, Privacy, and Sharing
-
Families must comply with the Family Privacy and Sharing Rules in the Global Futures Academy General Policies.
-
Families may take photographs of their own child when photography is permitted by the venue and doing so does not interfere with the event.
-
Families should avoid taking identifiable photographs or recordings of another child without permission from that child’s parent, legal guardian, or Accompanying Adult.
-
Families may not publish or redistribute identifiable images, recordings, work, or private information involving another student without appropriate permission.
-
Photography or recording may be restricted during particular activities, presentations, venue experiences, or private discussions.
-
Global Futures Academy’s collection and use of photographs, video, student work, and other personal information is governed by the Global Futures Academy Privacy Policy and the permissions provided during enrollment or event registration.
Emergencies and Incidents
-
The Accompanying Adult remains the primary person responsible for making decisions and responding to the student’s needs during an event.
-
In an emergency, Global Futures Academy or venue staff may contact emergency services or take other reasonable steps to protect a participant.
-
Families must provide accurate contact information and should keep a telephone available during the event.
-
Global Futures Academy may document an injury, safety concern, conduct incident, privacy concern, or other significant event.
-
Families are expected to cooperate reasonably with emergency personnel, venue staff, suppliers, and Global Futures Academy when an incident occurs.
Community Meet-ups
Nature of Community Meet-ups
-
Global Futures Academy community meet-ups are informal, unpaid gatherings intended to help families connect, explore cultures and places, and participate in shared activities.
-
There is no tuition, admission charge, or Global Futures Academy participation fee for a community meet-up.
-
Families may remain responsible for their own food, transportation, parking, admission to a public facility, or optional purchases.
-
An RSVP may be requested to help with planning, updates, and communication.
Arrival and Departure
-
Community meet-ups do not use a formal check-in or check-out process.
-
Families may generally arrive and leave according to their own needs, subject to any scheduled activity or meeting time stated in the event information.
-
A designated meeting place is provided to help families locate the group. It does not represent a transfer of care or responsibility to Global Futures Academy.
-
Families arriving after a scheduled activity has begun are responsible for locating the group or joining when reasonably possible.
Family Responsibilities at Community Meet-ups
-
The Accompanying Adult supervises the student throughout the meet-up.
-
Families are responsible for bringing any food, water, towels, chairs, clothing, supplies, or other items identified in the event information.
-
Children may participate in shared games and activities, but the Accompanying Adult remains responsible for deciding which activities are appropriate and supervising the child’s participation.
Food at Community Meet-ups
-
Community meet-ups may include informal food sharing or potluck-style contributions from Global Futures Academy and participating families.
-
Bringing food and participating in food sharing are optional.
-
Global Futures Academy does not collect or manage allergy or dietary information for informal community meet-ups.
-
Global Futures Academy does not inspect, verify, supervise, or guarantee the ingredients, preparation, storage, handling, or allergen status of food brought by participating families.
-
Community meet-ups are not allergen-free environments. Homemade and shared food may contain unknown ingredients or may have been exposed to allergens through preparation, storage, serving, or cross-contact.
-
Families managing allergies, intolerances, dietary restrictions, or other food-related needs should ask any questions they consider necessary, decline food when uncertain, and bring food they know is suitable.
Community Meet-up Changes and Cancellations

Global Futures Academy may cancel, relocate, shorten, or change a community meet-up because of weather, illness, anticipated attendance, venue conditions, or another practical concern.
-
Because community meet-ups are unpaid, no refund or credit applies.
Local and Domestic Field Trips
Nature of Field Trips
-
A field trip is a more structured educational or cultural group experience and may include a tour, timed entry, workshop, performance, museum visit, restaurant experience, nature activity, or other organized activity.
-
A field trip may be free or paid.
-
Registration may be required by a stated deadline because of venue capacity, group reservations, ticketing, materials, or staffing arrangements.
Arrival and Group Coordination
-
Field-trip information will provide the meeting point, arrival time, scheduled start time, and any entry instructions.
-
Global Futures Academy may ask families to confirm their arrival so the group can enter or begin an activity together.
-
Arrival confirmation is for group coordination only and does not transfer supervision or custody of the student to Global Futures Academy.
-
If a family arrives late, Global Futures Academy may be unable to delay the group, tour, activity, or timed entry.
-
A late-arriving family may need to enter independently, locate the group, or forfeit an activity if the venue does not permit late entry.
Food During Field Trips
-
Event-specific information will state whether food is included, available for purchase, or otherwise forms part of a field trip.
-
When food is provided by a venue, restaurant, caterer, workshop provider, or another third party, Global Futures Academy may collect allergy or dietary information during registration and pass it to the relevant provider.
-
Families must provide complete and accurate information by any stated deadline and notify Global Futures Academy promptly if the information changes.
-
Passing allergy or dietary information to a provider does not guarantee that the provider can accommodate a request or prevent allergen exposure or cross-contact.
-
The Accompanying Adult remains responsible for asking any necessary questions, confirming whether food is suitable, deciding what the student may consume, and managing the student’s medication and medical needs.
Field-Trip Costs

Event-specific information will state whether a field trip is free or paid.
-
Families may be responsible for:
-
admission or activity fees;
-
Global Futures Academy participation or facilitation fees;
-
transportation and parking;
-
food and refreshments;
-
supplies;
-
taxes or processing fees; and
-
other costs identified before registration.
-

The registration information will explain what is and is not included.
Additional Terms for Paid Field Trips
Registration and Payment
-
Payment must be made by the stated deadline.
-
A place is not secured until the required registration information and payment have been received.
-
Payments may include amounts collected for Global Futures Academy services and amounts paid or committed to a venue or another third-party provider.
Family Cancellation
-
Paid field-trip registrations are non-refundable unless the event-specific terms state otherwise.
-
Tickets, group reservations, materials, venue charges, and other third-party costs may become non-refundable once purchased or committed.
-
A family’s inability to attend because of illness, travel, scheduling, transportation, lateness, or another personal circumstance does not automatically entitle the family to a refund, credit, or transfer.
-
Where permitted, Global Futures Academy may allow a family to transfer a registration to another eligible family, but prior written approval is required.
Global Futures Academy or Venue Cancellation
-
If a paid field trip is canceled, postponed, or materially changed, Global Futures Academy may offer a replacement date, alternative activity, credit, or refund as appropriate.
-
Refunds relating to third-party tickets, reservations, and supplier charges may depend on whether Global Futures Academy receives a refund or credit from the provider.
-
Any non-refundable or nonrecoverable third-party costs will be disclosed before payment whenever reasonably possible.
-
Event-specific cancellation terms supplement the Global Futures Academy General Policies.
Scholarship Payments
-
If scholarship funds are accepted for a field trip, payment, documentation, refunds, and reversals will be handled according to the requirements of the applicable scholarship program.
-
Scholarship-funded amounts will not be paid directly to the family unless the scholarship program expressly permits it.
International Family Learning Trips
Separate Educational and Travel Arrangements
-
Global Futures Academy may offer parent-accompanied international family learning trips.
-
Travel services are offered and administered through Thrivers Lane LLC and are subject to separate travel policies, booking terms, supplier conditions, and trip-specific Terms & Conditions.
-
Global Futures Academy provides the required educational course connected with the trip.
-
Global Futures Academy policies govern the educational course, scheduled learning activities, participant conduct, privacy, and family responsibilities where applicable.
-
Thrivers Lane LLC travel terms govern travel registration, transportation, accommodations, suppliers, travel-package payments, deposits, cancellations, traveler documentation, insurance, and other travel arrangements.
-
The trip itinerary is operated and led by the designated travel supplier and its Group Leader, Chief Experience Officer, guide, or other representative.
-
A Global Futures Academy representative does not ordinarily accompany the group.
-
Families must review and accept all applicable Global Futures Academy, Thrivers Lane LLC, and supplier terms before participation is confirmed.
Family Participation Requirement
-
International family learning trips are family learning experiences centered on participating children.
-
Each traveling party must include at least one child who is registered for the trip and enrolled in the required Global Futures Academy family course.
-
Adults may not register for or participate in an international family learning trip without an accompanying registered child.
-
More than one adult may accompany a registered child, subject to trip capacity, accommodation arrangements, supplier requirements, and trip-specific registration terms.
-
Every registered child must travel with a parent, legal guardian, or parent-authorized responsible adult who remains responsible for the child throughout the trip.
Accompanying Adults
-
A child traveler may be accompanied by:
-
a parent;
-
a legal guardian; or
-
another responsible adult authorized by the parent or legal guardian.
-

The parent or legal guardian is responsible for:
-
selecting an appropriate accompanying adult;
-
providing any required written or notarized authorization;
-
providing medical authorization where appropriate;
-
providing custody or guardianship documentation when required; and
-
confirming that the documentation satisfies the requirements of the destination, transportation provider, supplier, and relevant authorities.

The authorized Accompanying Adult assumes the same supervision, safety, conduct, and participation responsibilities that would otherwise apply to the parent or legal guardian.
-
Global Futures Academy, Thrivers Lane LLC, and the travel supplier do not assume parental custody of the child during travel or scheduled group activities.
Required Global Futures Academy Family Course
-
Participation in an international family learning trip requires enrollment in the accompanying Global Futures Academy family course unless the trip-specific terms expressly state otherwise.
-
The course is a separate educational offering with its own description, tuition, schedule, participation requirements, and enrollment terms.
-
Depending on the course design, particular sessions or activities may be intended for:
-
all travelers;
-
adults and children together;
-
adult travelers; or
-
child travelers.
-
-
The course description will identify who is expected to participate in each part.
-
Each participating adult must accept the policies and privacy terms that apply to their own participation.
-
A parent or legal guardian must accept the applicable terms and provide any required consent on behalf of a child participant.
-
The course is governed by the Global Futures Academy General Policies, Virtual Learning Policies when applicable, Privacy Policy, Parent Enrollment Agreement, and any course-specific terms.
Food, Allergies, and Dietary Needs During International Travel
-
Thrivers Lane LLC may collect allergy, dietary, and related information needed to administer an international family learning trip and may share that information with relevant travel suppliers.
-
Travelers and parents or legal guardians are responsible for providing complete and accurate information and reporting any changes promptly.
-
Sharing information with a supplier does not guarantee that a particular need can be accommodated or that allergen exposure or cross-contact can be prevented.
-
Each adult traveler or Accompanying Adult remains responsible for checking food suitability, carrying and administering necessary medication, and managing their own or the child traveler’s food-related needs.
-
Additional requirements relating to food, allergies, dietary needs, medication, and supplier arrangements are governed by the applicable Thrivers Lane LLC travel policies, trip-specific Terms & Conditions, and supplier requirements.
Separate Charges
The cost of an international family learning trip may include three separate categories of charges.
Trip Registration Fee
-
A separately stated Trip Registration Fee is payable to Thrivers Lane LLC.
-
The Trip Registration Fee covers the administrative work involved in registering and onboarding the family for the trip.
-
This may include collecting and managing traveler details, passport information, dietary information, accessibility information, required forms, payment information, and other trip records.
-
The Trip Registration Fee is non-refundable and is earned when Thrivers Lane LLC accepts the registration and receives payment.
-
The Trip Registration Fee is a separate administrative charge.
-
It is not a deposit toward the trip, is not applied to the travel-package price, and does not reduce any deposit or other payment required for the travel arrangements.
Required Global Futures Academy Course Tuition
-
Tuition for the required Global Futures Academy family course is a separate educational charge.
-
Course tuition is governed by the Global Futures Academy enrollment terms and policies.
-
The course may continue, be modified, or be canceled separately from the travel package, depending on the circumstances and applicable course terms.
Travel-Package Payments
-
Travel-package payments may include accommodations, transportation, tours, activities, meals, guides, supplier fees, and other travel components identified in the trip proposal or booking documents.
-
These payments are governed by the Thrivers Lane LLC travel terms and applicable supplier conditions.
-
Travel suppliers may require deposits or advance payments to reserve accommodations, transportation, activities, or other travel services.
-
Supplier deposits and advance payments are separate from the Trip Registration Fee.
-
The Trip Registration Fee, Global Futures Academy course tuition, supplier deposits, and travel-package payments cover different services and are not treated as one undivided charge.
Registration and Booking
-
Submitting an interest form, inquiry, or preliminary registration does not create a confirmed travel booking.
-
Participation is confirmed only after:
-
all required registrations and agreements have been completed and accepted;
-
the Trip Registration Fee has been paid;
-
any applicable travel-package deposit or other required payment has been received;
-
the required Global Futures Academy course enrollment has been completed; and
-
all traveler information and documentation required at that stage have been provided.
-

Trip-specific information will identify:
-
applicable deposits;
-
payment deadlines;
-
minimum participation requirements;
-
cancellation terms;
-
traveler responsibilities;
-
documentation deadlines; and
-
other booking conditions.
-
Event-Specific Information
Each community meet-up or field-trip description may provide additional information, including:
-
whether the event is a community meet-up, field trip, or international family learning trip;
-
whether it is free or paid;
-
who may attend;
-
date, time, duration, and meeting point;
-
registration or RSVP deadline;
-
fees and what they include;
-
payment, deposit, and cancellation terms;
-
venue, parking, and transportation details;
-
food arrangements;
-
accessibility information;
-
physical activity or environmental conditions;
-
required clothing, equipment, supplies, or documents;
-
weather procedures;
-
photography restrictions;
-
venue or supplier waivers and rules; and
-
other information relevant to safe and successful participation.
Families are responsible for reviewing the event-specific information before registering or attending.
Policy Violations
-
Global Futures Academy may limit or end a family’s participation when a student or adult violates these policies, the General Policies, venue or supplier rules, or event-specific requirements.
-
Serious safety, privacy, conduct, or supervision concerns may result in immediate removal from an event.
-
A family may also be excluded from future Global Futures Academy events when reasonably necessary to protect participants or maintain a safe and respectful environment.
Acceptance
Registration or attendance confirms that the parent or legal guardian has received or been given access to and accepts:
-
these In-Person Meet-up and Field Trip Policies;
-
the Global Futures Academy General Policies;
-
the Global Futures Academy Privacy Policy;
-
any applicable course or enrollment agreement;
-
any applicable Thrivers Lane LLC travel policies and Terms & Conditions;
-
any applicable venue or supplier requirements; and
-
the event-specific information.
An adult participating in their own right may also be required to accept the policies and terms that apply to their participation.
